Processing of personal data of customers or suppliers

Personal data of customers or suppliers are processed by Swan Short Stay for the following purpose(s):

Administrative purposes;
Communication regarding the assignment and/or invitations;
The execution or issuance of an assignment.

Middle name / prefix;

(Business) telephone number;
(Business) email address;
Gender;

Your personal data will be stored by Swan Short Stay for the above-mentioned processing purposes for the following period:

For the duration of the agreement and thereafter only in the financial administration for a maximum of 7 years.

Processing of personal data of Employees

Personal data of Employees are processed by Swan Short Stay for the following purpose(s):

Execution of the employment agreement.

The legal basis for this personal data is:

The employment agreement.

For the above purpose(s), Swan Short Stay may request the following personal data from you:

First name;
Middle name / prefix;
Last name;
Telephone number;
Email address;
Date of birth;
Salary details;
Copy of ID;
Citizen Service Number (BSN);
Bank details.

Your personal data will be stored by Swan Short Stay for the above-mentioned processing purposes for the following period:

For the duration of the contract and thereafter only in the financial administration for a maximum of 7 years.

Provision to third parties

The data you provide to us may be shared with third parties if this is necessary for the execution of the purposes described above.

For example, we use a third party for:

Providing the internet environment of the GDPR program;
Providing the (financial) administration of Swan Short Stay.

We never share personal data with other parties with whom we have not concluded a data processing agreement. With these parties (processors), we of course make the necessary arrangements to ensure the security of your personal data. Furthermore, we will not provide the data you have provided to other parties, unless this is legally required and permitted. An example of this is when the police request (personal) data from us as part of an investigation. In such a case, we are obliged to cooperate and provide these data. We may also share personal data with third parties if you give us written consent to do so.

Within the EU

We do not provide personal data to parties established outside the EU.

Retention period

Swan Short Stay does not retain personal data longer than necessary for the purpose for which it was provided, or as required by law.

Security

We have taken appropriate technical and organisational measures to protect your personal data against unlawful processing. For example, we have taken the following measures:

All persons who can access your data on behalf of Swan Short Stay are bound by confidentiality.
We use a username and password policy on all our systems;
We pseudonymise and encrypt personal data when there is reason to do so;
We make backups of personal data in order to restore them in the event of physical or technical incidents;
We regularly test and evaluate our measures;
Our employees are informed about the importance of protecting personal data.

Rights regarding your data

You have the right to access, rectify or delete the personal data we have received from you. You may also object to the processing of your personal data (or part thereof) by us or by one of our processors. You also have the right to have the data you have provided transferred by us to yourself or, at your request, directly to another party. We may ask you to identify yourself before we can comply with these requests.

If we process your personal data based on your consent, you always have the right to withdraw that consent.

Complaints

If you have a complaint about the processing of your personal data, we ask you to contact us directly. If we are unable to resolve the issue together, we naturally regret this. You always have the right to file a complaint with the Dutch Data Protection Authority, the supervisory authority in the field of privacy protection.
